Free PTO Accrual Calculator

A PTO accrual calculator estimates how much paid time off an employee earns over future pay periods. Enter hours worked, an accrual rate, current balance, and planned PTO use to project the available paid time off balance.

It is useful for checking vacation accrual, sick time accrual, caregiver PTO policies, and payroll notes before updating an official HR or payroll system.

PTO accrual inputs

Use an hourly accrual rate such as 0.0577 for 120 annual PTO hours across 2,080 annual work hours. Adjust the pay-period count to project a month, quarter, or full year.

Formula

PTO earned = hours worked per pay period x accrual rate per hour x pay periods. Projected balance = current balance + earned PTO - planned PTO use.

How to use this PTO calculator

Step 1

Enter hours worked

Add the regular hours worked in one pay period, such as 80 hours for a biweekly schedule.

Step 2

Add the accrual rate

Use the employer's PTO accrual rate per hour worked, or estimate it from annual PTO divided by annual work hours.

Step 3

Set current balance and timeline

Enter the current PTO balance, number of pay periods to project, and any planned PTO hours that should be subtracted.

Step 4

Review the projected PTO balance

Use the earned PTO, projected balance, annualized accrual, and copyable summary to plan time off or payroll notes.

PTO accrual FAQ

What is PTO accrual?

PTO accrual is the process of earning paid time off over time. Many employers award PTO based on hours worked, pay periods completed, or a fixed annual allowance.

How do I calculate PTO accrual per hour?

Divide annual PTO hours by annual work hours. For example, 120 PTO hours divided by 2,080 work hours equals about 0.0577 PTO hours earned per hour worked.

How much PTO do I earn each pay period?

Multiply hours worked in the pay period by the PTO accrual rate. If you work 80 hours and earn 0.0577 PTO hours per hour, you earn about 4.62 PTO hours that pay period.

Does this calculator replace payroll records?

No. It is a planning estimate. Use your employer's handbook, payroll system, and state rules for the official PTO balance and payout treatment.

Can household employers use this for caregivers?

Yes. Household employers can use this calculator to model PTO policies for nannies, senior caregivers, and other household employees before documenting the policy in payroll records.
